Privacy Policy

How Axiom Board Group handles your information on Axiom Mail.

Last updated October 12, 2026

This Privacy Policy explains how Axiom Board Group ("we", "us") collects, uses and shares information through the Axiom Mail website at mail.axiomboardgroup.com, the Axiom Mail app, and the QR code and form pages that Axiom Mail serves for its customers. By using them, you agree to this policy.

Information we collect

Information you give us

  • When you ask to talk to us: your name, company, email address, phone number if you give it, how much you expect to mail, and any message you write.
  • When you create or join an account: your name, email address, password (stored only in encrypted form) and role.
  • When you add funds: the amount and how you paid. Card and bank details are handled by our payment processor, Stripe, and never stored by us.
  • Business information our customers enter into the app, such as their logo, return address, designs, and their own customers' names and mailing addresses.

Information collected automatically

Our servers record basic technical information such as IP address, browser type and the pages requested, to keep the service running and secure. Signing in stores a session token in your browser so you stay signed in.

When someone scans a QR code or opens a form served by Axiom Mail, we record the time, the kind of device (phone, tablet or computer) and a one-way fingerprint used to count unique visitors. We do not store the IP address with the scan.

How we use information

  • To print and mail the letters and postcards our customers send.
  • To show our customers delivery updates, scans, form responses and results for their mail.
  • To provide, maintain and secure the app, and to process deposits, refunds and statements.
  • To send account messages such as sign-in links, invitations, password resets and balance alerts.
  • To respond to questions and requests to talk.
  • To understand and improve how the site is used, only if you accept optional cookies.

If you received mail or filled in a form

Businesses that use Axiom Mail enter their own customers' names and addresses, and receive the responses people give on their forms. We process that information on their behalf to send the mail and report its results, and each business can only see its own information. We do not use it to mail anyone for ourselves, and we do not sell it. If you received mail from a business that uses Axiom Mail and want to stop it or ask about your information, please contact that business. You can also email [email protected] and we will pass your request on.

How we share information

We do not sell personal information for money. We share information only with service providers that help us run the service:

  • Lob, which prints and mails each piece and reports its delivery status from the Postal Service.
  • The United States Postal Service, which receives the mailing address on each piece and, when a customer asks, checks addresses.
  • Stripe, which processes payments and refunds.
  • Hosting and database providers that store the site and app data.
  • An email delivery provider, to send account messages and alerts.
  • Analytics or advertising tools, only if you accept optional cookies.

We may also share information when required by law or to protect the rights and safety of our users and the public.

Storage and security

Information is stored with our hosting providers in the United States. Access is protected by encryption in transit, authentication and per-company access rules. No method of storage or transmission is completely secure, but we work to protect your information and limit access to people who need it.

Cookies and similar technology

The site uses storage in your browser that is needed for it to work, such as keeping you signed in and remembering your cookie choice. Optional analytics or advertising tools load only if you choose Accept on the cookie notice, and never when your browser sends a Global Privacy Control signal. You can change your choice at any time with the Cookie Preferences link in the footer. You can also block or delete cookies in your browser settings, though parts of the app may stop working.

Your choices and rights

You can ask to see, correct or delete the personal information we hold about you by emailing [email protected]. Account holders can update their name and email in the app. We keep information for as long as an account is active or as needed to provide the service, meet legal and tax obligations and resolve disputes. Records of mail sent and payments are kept for as long as the law requires.

Your California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act, as amended, gives you these rights:

  • The right to know what personal information we collect, use and disclose.
  • The right to delete personal information we collected from you.
  • The right to correct inaccurate personal information.
  • The right to opt out of the sale or sharing of personal information.
  • The right not to be discriminated against for using any of these rights.

Axiom Board Group does not sell personal information for money. If you accept optional cookies, analytics or advertising tools may collect browsing data, and California law may treat that as "sharing." You can opt out at any time by choosing Decline under Cookie Preferences in the footer. We honor the Global Privacy Control signal as a valid opt-out request.

To exercise any of these rights, including the right to opt out of the sale or sharing of personal information, please submit a request by emailing [email protected] with the subject line or message California Privacy Request.

We will confirm receipt and respond within 45 days, as required by California law. We may need to verify your identity before acting on a request. You may use an authorized agent to make a request on your behalf.

Children

Axiom Mail is a business service and is not directed to children under 13. We do not knowingly collect their information.
